Volunteer Policy & Procedure

This policy promotes consistency in the way Acting Up recruits, inducts and supervises volunteers. It is essential that all staff working with volunteers implement this policy to ensure that volunteers: 

  • Are treated consistently
  • Benefit from best practice volunteer management 
  • Share a good experience as Acting Up volunteers
  • Understand what is expected from them
  • Make a valuable contribution to our work 
  • Undertake their volunteer role in safety 

Definition of Volunteers 

An Acting Up volunteer is a person who performs a service willingly and without pay under our direction and supervision. This may be on a one-off, occasional or regular basis. Volunteers have different roles but whatever their role, all staff and volunteers are bound by the same volunteer policy. Further definitions of volunteer categories and roles can be found below. 

Young Volunteers 

Acting Up may work in partnership with volunteers under the age of 18 where they are supervised by an appropriate third party such as their parent, guardian, school staff, or youth leader, who are able to provide the necessary level of support and supervision to ensure their health, safety and well-being.

Volunteer Opportunities 

Acting Up aims to develop volunteer opportunities in all areas of our work, where we can properly support volunteers in line with this policy. 

Our main volunteer roles fall into three groups: 

  • Assisting with school productions, taking tickets, selling refreshments, raffle tickets other administration. 
  • Work experience. 
  • Volunteer Role 

The role of Acting Up volunteers is: 

  • To support the Acting Up team with regard to safety, pastoral care, promotion of well-being and safe delivery of activities. 
  • To work with the class teacher  to develop tasks and activities that engage and support all of the participants. 
  • To support the class teacher in case of a first aid incident or other emergency situation. 
  • To be fully conversant with the Acting Up policies, risk assessments and emergency procedures. 
  • To help to manage and maintain the equipment and tool kit. 
  • To be willing to provide evaluation of sessions and participants.
  • To be a good role model. 

The Volunteer Agreement 

Volunteers who join Acting Up as registered volunteers enter into a partnership agreement with Acting Up. The volunteer agreement outlines the commitments expected from both volunteers and staff. Staff engaging with volunteers have a responsibility to understand and meet their obligations to volunteers. 

2. PROCEDURE 

This is a summary of the essential components of the procedures for volunteer management. 

2.1. Recruitment 

  • Where volunteers are actively recruited we will: 
  • Recruit fairly and without discrimination
  • Consider each applicant regardless of age, sex, race, disability, religion or belief, sexual orientation or pregnancy 

2.2. Induction 

  • We will provide or make new volunteers aware of: 
  • An accurate description of their volunteer role 
  • Name of Principal or staff supervisor 
  • Health and safety standards and procedures, and risk assessments in place 
  • Expenses policy, with the need to seek approval before incurring expenditure 
  • Safeguarding policy 
  • Acting Up vision and mission
  • External communications guidance where relevant 
  • Data protection policy where relevant 

2.3. Supervision 

We will: 

  • Provide regular communication with a designated supervisor and opportunities for volunteer feedback
  • Ensure compliance with health and safety, safeguarding and equality, inclusion and diversity policies 
  • Support volunteers in any other way that is appropriate 
  • Thank and acknowledge our volunteers’ contributions to Acting Up.

2.4. Session Support Volunteers 

The volunteers will have direct contact with children and and so will be required to undertake an Enhanced DBS Certificate. Acting Up can support our volunteers in obtaining this.

Session Support Volunteers will be supervised during sessions by a member of Acting Up staff.
